The Ministry's Cultural Industries Branch supports a variety of programs that enhance the quality of life of Albertans. From the operation of the Jubilee Auditoria, Alberta's world class performing arts venues, to supporting the film industry within Alberta, the Branch provides a diverse set of exciting services to the Province. We are currently seeking an experienced administrative professional to join the Cultural Industries team.
Reporting to the Executive Director, Cultural Industries, the position is responsible for providing administrative support to the Branch and Executive Director. As the successful candidate you would be responsible for performing a diverse set of administrative functions from managing the Executive Director's calendar to performing financial duties such as budgeting and expenditure tracking. You would also be involved in preparing and editing correspondence related to the Branch's business and coordinating the Branch's IT requirements.
To excel in this position you will require strong competencies in:
DRIVE FOR RESULTS: This role is critical to the smooth operation of the Cultural Industries Branch and must develop a solid understanding of the Branch's priorities and how best to facilitate them from an administrative perspective. As the successful candidate you must ensure that you manage your time appropriately in order to complete tasks based on Branch priorities and you must be aware of how your responsibilities affect others' ability to do their jobs. Finally, it's essential that the position effectively support the Executive Director in meeting commitments and delivering on the Branch's goals.
SYSTEMS THINKING: The cultural industries within Alberta cover a diverse group of programs and stakeholders. As a result, the successful candidate must understand the work of the Branch and how it relates to other work done across the Ministry and Government. The position will often work with stakeholders in responding to inquiries or preparing correspondence. The successful candidate must use their knowledge of the Branch's business to provide information to stakeholders and make recommendation as to the appropriate program that might be able to address their needs. This requires knowledge beyond their specific role and the programs offered by the Branch. Additionally, in supporting the Executive Director, an understanding of Branch, Ministry and Government priorities is essential in making decisions related to calendaring, budget and resources.
DEVELOP NETWORKS: In this role, there is a requirement to work closely with a variety of stakeholders both internal and external to government. From working with the Assistant Deputy Minister's Office in preparing correspondence to responding to an inquiry from a stakeholder, the successful candidate will need to build relationships in a way that promotes trust and collaboration with a diverse group of individuals.
In addition to their resume, candidates are asked to include a cover letter that demonstrates at least two of the competencies outlined above. A high school diploma and three years of related experience is required. Experience with budget preparation, forecasting or expenditure tracking is preferred. Experience providing support to a senior or executive manager is also preferred. Experience in preparing, tracking or editing correspondence will be considered an asset. Experience using Government of Alberta systems and software (IMAGIS, MyAgent, ARTS, ExClaim, EPS) will also be considered an asset. Equivalencies will be considered.
$1,724.26 - $2,111.09 bi-weekly ($45,003 - $55,099 annually).
Successful candidates will be required to undergo security screening. This competition may be used to fill current and future vacancies across government. Candidates with lesser qualification may be considered at a lower classification.
