Justice and Solicitor General
The Technology and Business Services Division within Alberta Justice and Solicitor General is looking for an experienced Executive Assistant to play a key role in supporting the Assistant Deputy Minister (ADM) and to manage the activities of this fast-paced ADM office.
Responsibilities include efficient handling of material requiring the ADMs attention, managing the ADM's schedule and meeting preparation, and, ensuring urgent matters received by the ADM office are promptly assigned to the appropriate individuals in the Division. The position acts as the Division's ARTS coordinator and assigns AR's throughout the division and monitors the accurate and timely completion of AR's. Leadership to the administrative staff throughout the division on administrative practices including correspondence standards and ARTS processes is also part of this role. You will maintain close contact with the Deputy Ministers offices, and will ensure the ADM is informed of deadlines and background material, as appropriate. As the ADM's Executive Assistant, you will receive visitors, answer and respond to phone calls, as well as schedule appointments and meetings. The Executive Assistant is responsible for managing the ADM's general office duties and filing system.
To be successful in this role you must have well developed administrative abilities including time management, good judgment and organizational skills. It is imperative that the successful candidate displays initiative, has the ability to work independently to prioritize tasks within tight deadlines. Strong verbal and written communication skills are essential in effectively interacting with senior executives and staff from all levels within the ministry. Exceptional skills in grammar, writing and accuracy, hands-on knowledge of Microsoft Office, the ability to handle documents within a tablet/largely paperless environment, are required.
High School Diploma, with at least four years of progressively responsible executive assistant or other related administrative experience. Skills in grammar, writing and accuracy are essential. Government experience along with knowledge of applicable government systems (ARTS, Sharepoint, ExClaim, IMAGIS and EPS) would be an asset. Preference will be given to candidates with prior supervisory experience. Equivalencies will be considered.
$1,883.96 - $2,522.30 Bi-weekly
